Team & Roles

Can we apply together with a local authority, such as a district council?

Yes. You can apply in partnership with a local self-government body (LSG). The exact partnership composition and the official applicant organization will be confirmed later, when applying for specific grant opportunities according to donor requirements.

Who should be on the team?
Your team should include the core roles needed to deliver the project—such as a coordinator, program manager, financial manager, communications manager, and any other roles essential to implementation.

Does the team have to be exactly 3 people?
No. We recommend 3–5 members for a balanced workload and smooth implementation, but this is not a strict requirement.

Can I apply alone?
Yes. You can apply with your idea individually at the selection stage, but you’ll need to form a team before the program begins.

Do we need NGO representatives on the team?
No. Teams can come from LSGs, NGOs, charitable foundations, businesses, or partnerships between them (for example, NGO + LSG, NGO + business, etc.). NGO representatives are welcome but not required.

Training Structure

Is this only a training program, or can we also apply for a grant?
Impact.Zhytomyr 2.0 does not include its own grant competition. Instead, your team will have the chance to pitch ideas to potential donors and work with mentors on tailored fundraising plans.

How will participants be selected? Will there be a limit on the number of people?
Ideas will be assessed against 5 key criteria, with a maximum score of 100 points. The 15 highest-scoring ideas will be invited to join the program. There is no fixed limit on team size, but we recommend teams of 3–5 people for the mentorship sessions.

Application & Project Ideas

What is the correct way to apply?
Your application must include three components:

  1. A completed Google Form

  2. A project concept (using the provided template)

  3. A budget (using the provided template)

Applications are accepted only via Google Form until 23:59 on August 31, 2025. Submission link: https://forms.gle/YTGbGTxHSEwkFbE96.

Do we need to have a fully developed project, or is a project idea enough?
A project idea is enough. During the mentorship program, mentors will help you develop it into a complete project. Just make sure your concept description includes enough detail for the selection committee to understand your starting point.

Do we need project-estimate documentation if we plan repair works?
No. Such documentation is not required for the mentorship program, though specific donors may request it later when you apply for grants.

Can we resubmit an unfinished project from Impact.Zhytomyr 1.0?
Yes. If your previous project remains unfinished or needs refinement, this program is an excellent opportunity to strengthen and complete it. We encourage such continuity and will provide mentorship support.

Will some projects (e.g., “soft” vs. “hard”) have higher priority?
No. All thematic areas have equal priority. What matters most is:

  • how clearly the problem is defined,

  • how well the team understands its target audience,

  • whether the project has real potential for change, and

  • whether the change can be sustained.

Are there restrictions on project themes?
No. The list of suggested themes is provided in the application form, but you may submit ideas in any area relevant to your community’s needs and development strategy.

Does the program provide funding?
No. Impact.Zhytomyr 2.0 is a mentorship program, not a grant competition. Its purpose is to help you refine your idea, prepare a strong application, and improve your chances of securing external funding.

Is there a limit on project budgets?
No. Since this is not a grant competition, there are no minimum or maximum amounts. Your budget should be realistic, justified, and aligned with your project’s needs.

Can community budgets cover some expenses? Is co-financing required?
There are currently no co-financing requirements. In general, donors prefer not to duplicate costs already covered by community resources. For example, road repairs or playground installations should be funded from community budgets.

Can one community submit more than one project?
Yes.

How many projects can be submitted in total?
There is no formal limit. However, we strongly recommend focusing on 1–2 priority ideas that are most relevant for your community, with clearly defined problems, logical action plans, and realistic budgets.

Are there grant opportunities specifically for LSGs, or for cultural projects?
Yes. Part of the mentorship program includes mapping relevant funding opportunities. Mentors will help identify which donors, programs, or competitions best fit your profile and project theme.

Forum & Presentations

What will the Impact.Zhytomyr Forum look like?
The Forum will give you the chance to present your ideas to potential donors. Only teams that complete the mentorship program will be able to participate. The exact format will be announced closer to the event.

Will we get support in preparing for the Forum presentations?
Yes. Mentors will work with teams on their presentations and provide feedback ahead of the pitching session.

Program Features

How is Impact.Zhytomyr 2.0 different from the first program?
Impact.Zhytomyr 2.0 is not a lecture-based training course. It is a mentorship program with a tailored, hands-on approach. Each team works directly with a mentor on its own project idea, adapts its action plan to community needs, and gets support in preparing for fundraising.

Can relocated community teams (e.g., from Luhansk) that now operate in Zhytomyr apply?
Yes. If your activities are currently implemented in Zhytomyr, or in partnership with local communities and organizations, you are eligible. In fact, such partnerships often create strong synergies and add extra value to projects.
